Background

Vibrance, a celebrated charity supporting vulnerable adults in east London, wanted to bring their recruitment practices bang up to date.

Top of their list was to set a precedent to candidates – making basic IT skills an integral part of the application process as it is an integral part of each of Vibrance’s roles.

In addition they needed to allow their hiring managers to be self-sufficient in advertising and filling vacancies. This autonomy needed to be coupled with a standardisation of recruitment processes across managers and ensure that the recruitment team had visibility of the process and candidates in order to complete their recruitment tasks and to support their managers.

Challenge

Moving to an online ATS was part of Vibrance’s wider goals to grow their workforce’s IT skills by managing tasks with technology solutions wherever possible. Engage needed to deliver a sophisticated yet intuitive Applicant Tracking System (ATS) that allowed hiring managers to administrate their own recruitment. Managers had a varying range of IT and systems skills and so the system needed to be user friendly and promote buy-in from their core team of users.

Vibrance wanted a system that was flexible enough to accommodate these needs as well as those of the recruitment team.

Managers have the ability to quickly and easily advertise their vacancies, then manage candidates through the recruitment process from a single central screen. Success

Vibrance has been able to streamline their recruitment processes and gain the efficiencies of having a shared system accessible across several geographical locations. Ownership of the recruitment process has remained with the hiring managers, while allowing HR teams to administrate their tasks with ease; all using the same system.

The move onto an online application process has also yielded a higher quality of candidate, as the core IT skills that are a pre-requisite to Vibrance’s work force are put into practice in order to submit an application.
